Privacy Notice - Foreigners

Pursuant to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, Journal of Laws UE L 119 of 04/05/2016, p. 1, as amended), hereinafter referred to as "GDPR," we would like to inform you that:

  1. The administrator of your personal data is the Governor of Wielkopolska with its registered office at al. Niepodległości 16/18, 61-713 Poznań. You can contact them by phone at 61 854 10 00 or via email at wuw@poznan.uw.gov.pl.
  2. For matters related to personal data, you can reach out to the data protection officer at the Office of Wielkopolska Province in Poznań through iod@poznan.uw.gov.pl.
  3. Your personal data will be processed for the purpose of conducting proceedings concerning the legalization of residence and employment of foreigners in the territory of the Republic of Poland, in accordance with the Act of 12 December 2013 on Foreigners, the Act of 14 July 2006 on the Entry into, Stay in, and Exit from the Territory of the Republic of Poland by Citizens of Member States of the European Union and Their Family Members, and the Act of 20 March 2025 on the Conditions for Permissibility of Entrusting Work to Foreigners in the Territory of the Republic of Poland, on the basis of Article 6(1)(c) and Article 9(2)(g) of the GDPR.
  4. Your personal data may be shared with other authorized organizations where there is a legal basis to do so under the GDPR. These organizations are either contracted by the Office or subject to an agreement to fulfill its legal and official functions. They may process personal data on our behalf and under our direction, when the processing is necessary for tasks carried out in the public interest or in the exercise of official authority.
  5. We will retain your personal information for as long as it is necessary for the intended purposes, including data storage.
  6. Under the GDPR, you have the right to request access to your personal information, object to or request restrictions on our use of your personal information, and ask us to correct or delete your personal information. However, there might be legal or official reasons that require us to continue retaining or using your data. You also have the right to file a complaint with the Office regarding how we handle your information or respond to your requests for access to your personal information or the exercise of your other rights under the GDPR.
  7. You also have the right to file a complaint with the Personal Data Protection Office.
  8. We have a responsibility to safeguard and ensure the security of your personal information. The Office collects and processes personal information to fulfill its legal and official functions.
  9. Your personal data will not be disclosed or transferred to third countries, and it will not be used for automated decision-making, including profiling.

Pursuant to Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, Journal of Laws UE L 119 of 04/05/2016, p. 1, as amended), hereinafter referred to as "GDPR", we would like to inform you that:

  3. Your personal data will be processed for the purpose of conducting proceedings concerning the legalization of employment of foreigners in the territory of the Republic of Poland, based on the Act of 20 March 2025 on the conditions for permitting the employment of foreigners in the territory of the Republic of Poland, and the Act of 12 December 2013 on Foreigners, pursuant to Article 6(1)(c) and Article 9(2)(g) of the GDPR.
  4. Your personal data may be shared with other entities authorized to receive such data under relevant legal provisions, or with entities processing your personal data on behalf of the Controller under a data processing agreement (so-called data processors).
  5. Your personal data will be processed for the period necessary to achieve the purposes of processing, including the archiving obligations resulting from legal provisions.
  6. In accordance with the applicable laws under which the processing takes place, as well as with the GDPR, you have the right to: access your data and obtain a copy thereof, rectify your data, and restrict data processing.
  7. In addition, you have the right to lodge a complaint with the supervisory authority, i.e. the President of the Personal Data Protection Office.
  8. Providing your personal data is necessary for handling your case at the Office of Wielkopolska Province in Poznań, in accordance with the purpose and regulations specified in point 3.
  9. Your personal data will not be transferred to third countries and will not be subject to automated decision-making, including profiling.
