Bring On Documents (BOD): Submitting documents needed for the examination of your case - Rules of Operation

Rules of operation:

At BOD desks we accept:

  • documents indicated in the summons you received – after providing your case number or showing the summons,
  • documents submitted following a notice before a decision is issued – after providing your case number or showing the summons,
  • new applications in all matters handled by the Department,
  • additional documents required for issuing permits such as residence cards (e.g. payment confirmations, requests regarding residence card addresses, registration certificates),
  • applications for:
  • a duplicate of a decision,
  • issuing a certificate,
  • return of original documents,
  • refund of stamp duty / document printing fee,
  • transfer of the case to the competent authority,
  • discontinuation of proceedings,
  • suspension of proceedings,
  • notifications about change of residential or correspondence address,
  • notifications about termination of employment / change of employer,
  • appeals and complaints,
  • granting or revoking a power of attorney,
  • travel lists for school trips within the European Union.

At a BOD desk you can also:

  • present a valid travel document (passport) of your child, if on the day of submitting the legalization application the child is under 6 years old,
  • present a travel document in cases where fingerprinting is not required (residence registration, issuing a document confirming the right of permanent residence for EU citizens, Polish travel document, Polish identity document, visa extension).

Organization of BOD desks:

  • No electronic queueing system – you do not need to take a ticket to submit documents.
  • We do not certify documents as “true to the original” in cases where later personal appearance will be required.
  • To ensure smooth service and comfort for everyone waiting, one person may submit documents for up to 5 cases per visit.
  • We do not provide information about the status of a case or procedures – for this, please visit one of our information points.
  • We do not verify whether documents meet formal or evidentiary requirements. Necessary explanations can be found in the official letter you received.
  • We do not accept documents other than those listed in the BOD rules.
  • We do not accept submissions that require:
  • personal appearance,
  • fingerprinting,
  • presentation of a passport – except for the specific cases listed above.

Submitting an application at a BOD desk does not replace the mandatory personal appearance required by law.
Personal appearance, fingerprinting, and presentation of the original passport are only possible during a reserved appointment via the case-status panel or at the date specified in your official summons.

  • We do not stamp passports to confirm submission of a residence legalization application.
To obtain a stamp in your passport confirming submission, you must book an appointment via the electronic queue system – line P “obtaining a stamp in passport” (applies to applications without formal deficiencies).

Don’t waste time – prepare your documents properly! Please make sure that all submitted documents are clearly labeled with applicant’s first name and last name, date of birth, type of application, and, if you have one, your case number in our system (e.g. Jan Kowalski, 19.01.2000, temporary residence, 1000/25). This will speed up the inclusion of your documents in the case file.
Due to the very large number of ongoing proceedings, missing information makes case identification difficult and may delay updates or decisions.

We want to ensure that all documents needed for your case are included in your file as quickly as possible!
